How emails are sorted

How Quoflow decides between Jobs, Tenders, Orders and Other.

Every email that reaches Quoflow, from a connected mailbox or your forwarding address, is read and placed in one of four groups. Spam is ignored.

GroupWhat goes there
JobsQuote requests, and updates to requests you already have, such as revised plans.
TendersTender invitations and tender documents.
OrdersOrders, payments and questions about existing work.
OtherEverything else that isn’t spam, such as newsletters and general correspondence.

What happens to a job

When an email is sorted into Jobs, Quoflow creates a job (or updates an existing one). Plans are taken from the attachments, or downloaded from links in the email when the link opens a PDF without signing in. Quoflow then reads the plans and finds the doors, and the job shows as ready to check, waiting for someone on your team to review the doors.

If a request has no plans Quoflow can reach, for example a merchant portal that needs a sign-in, the job is still created and shows as Waiting for plans, so nothing is missed. Add the plans to the job and Quoflow carries on from there.

What Quoflow looks at

Quoflow reads the subject, the message and the attachments together, the same way a person would. A message saying “please quote the attached” with a plan set is a job. A message confirming an order with a purchase order number is an order.

Your mailbox isn’t changed

Sorting happens inside Quoflow. Emails stay where they are in your mailbox, and are never marked as read. If your Microsoft admin has approved filing, Quoflow can also file emails into folders for you.
